Updated September 17, 2026. This notice covers ColdFront Health’s website, rental and purchase requests, client portal, and support communications.

What we collect

When you submit a request, we receive the contact information, location, rental preferences and other details you choose to provide. Treatment area, physician, surgery date and comments help us arrange equipment; optional fields can be left blank. Please do not include medical records, prescriptions, insurance member numbers, Social Security numbers or payment card information in forms, messages or email.

We keep request status, approved quotes, payment references, delivery and return arrangements, equipment records and support messages to provide the service. A referral sent to us by a clinician or NICE is reviewed before it becomes a customer request. A referral does not automatically opt you into text messages.

How we use information

We use it to answer questions, confirm availability and fit, coordinate fulfillment, process payments, provide support, and maintain business records. We share the contact and shipping details needed for your order with the supplier or delivery provider. We do not sell your personal information or use it for targeted advertising.

Service providers

Vercel hosts the website and media; Neon stores operational records. Stripe processes payments through its checkout. ColdFront does not store your full card number. Resend handles email, and Quo handles business calls and texts. These providers process the information needed to perform their services. Their own privacy policies also apply to their services.

ColdFront may use AI to prepare an administrative reply for a staff member to review. The drafting feature uses public service information and a limited booking status. It does not receive your message history, name, contact information, medical documents or attachments, and it does not send messages on its own.

Security and access

The site uses HTTPS. Administrative access requires a password and a second factor. Client access uses a short-lived email sign-in link and a secure session cookie. Payment links are private and expire; recoverable rental payment tokens are encrypted in our database. Operator alerts direct staff to sign in rather than including patient details.

These safeguards are designed to limit unnecessary access, including to information that may relate to your health. No online service can promise absolute security. This website is not a medical-record upload service. Contact us to establish an appropriate channel if clinical documentation is needed.

Messages and your choices

Text messages require your opt-in. Message frequency varies; message and data rates may apply. Reply STOP to stop texts or HELP for assistance. Choosing not to receive texts does not prevent you from requesting or renting equipment. We may still contact you through your other selected methods to provide the service.

We retain records for service, accounting, dispute resolution and applicable recordkeeping obligations. You may ask to access, correct or delete your information. Some transaction records may need to be retained. We verify requests before disclosing or changing account information.

Cookies and embedded media

Essential cookies maintain authenticated sessions. We do not use advertising pixels or session replay. Vercel may process technical information such as IP addresses and browser details to operate and protect the site. YouTube loads when you choose to play a video. Vimeo loads on supported product pages for the rotating product view, with its do-not-track setting enabled. Those services receive technical request information.
